01.Introduction
TaxMunim is a practice-management platform for professional offices, provided by TECHAOT TECHNOLOGIES (“we”, “us”). This policy explains what personal data we process, why, and the choices you have. It applies to taxmunim.com, the TaxMunim web application and the TaxMunim mobile apps.
We process personal data in line with the Digital Personal Data Protection Act, 2023 (DPDP Act), the Information Technology Act, 2000 and the rules made under them.
02.Who is responsible for your data
For account and billing data of the organizations that subscribe to TaxMunim, we are the Data Fiduciary.
For the data an organization stores in its workspace — its clients, employees, documents and records — the subscribing organization is the Data Fiduciary and we process that data on its behalf (as a Data Processor) only to provide the service. Requests about that data should first go to the organization that holds it.
03.Information we collect
- Account information: name, work email, mobile number, role and organization details of users.
- Client records entered by an organization: names, contact details, PAN, GSTIN, addresses, registrations, engagements and related notes.
- Employee and attendance records: check-in and check-out times, work mode, leave requests and, when the user allows it, device location at check-in.
- Documents and files uploaded to the workspace or the client portal.
- Credentials an organization chooses to store in the credential vault (stored encrypted).
- Billing information: invoices, GSTIN and payment status. Card or bank details are handled by the payment gateway and are not stored by us.
- Technical data: device and browser type, IP address, app version and error logs needed to keep the service secure and working.
04.How we use information
- To provide the service: tasks, deadlines, attendance, billing, documents and the client portal.
- To secure accounts: authentication, two-step verification, session management and audit trails.
- To send service messages such as reminders, OTPs, invoices and important account notices.
- To provide support and respond to your requests.
- To improve reliability and performance using aggregated, non-identifying usage information.
- To meet legal, tax and regulatory obligations.
We do not sell personal data, and we do not use workspace data for advertising.
05.Location data
The mobile app asks for location permission only to attach a location to an attendance check-in. Location is collected at the moment of check-in, not continuously in the background, and you can refuse or revoke the permission at any time in your device settings — check-in still works without it.
06.How we protect data
- Encryption in transit (HTTPS/TLS) for the website, web app and mobile apps.
- Each organization’s data is isolated at the database level.
- Credentials in the credential vault are encrypted at rest; access is recorded.
- Role-based permissions, two-step verification and revocable sessions for users.
- An audit trail of sensitive actions within each organization.
No system is perfectly secure, but we work to protect data against unauthorised access, loss or misuse.
08.Data retention
Workspace data is kept for as long as the organization’s subscription is active. When an organization closes its account, it has 30 days to export its data, after which workspace data is deleted from active systems. Backups are overwritten on their normal cycle.
Invoices and payment records are retained for the period required by Indian tax laws.
09.Your rights
Under the DPDP Act you may request access to, correction of, or erasure of your personal data, withdraw consent, and nominate another person to exercise your rights. You can update most account details yourself in TaxMunim; for anything else, contact us using the details below.
See our Data Deletion page for how to request deletion.
11.Children
TaxMunim is meant for businesses and their staff and is not directed at children under 18.
12.Data breaches
If a personal data breach occurs, we will investigate promptly, take steps to contain it, and notify affected organizations and the Data Protection Board of India as required by law.
13.Changes to this policy
We may update this policy as the product or the law changes. We will post the new version here with a new “last updated” date and, for material changes, inform account owners by email or in the app.
14.Grievance officer and contact
